Banquet Agreement

All reservations and agreements are made upon and subject to the guidelines of Hilton Hartford and the following conditions:

 

Food & Beverage

Due to liability and legal restrictions, no outside food or beverage of any kind may be brought into the Hotel by the customer, guests or exhibitors. Hilton Hartford is the only licensed authority to sell and serve liquor for consumption on the premises. Connecticut law requires persons to be a minimum of 21 years of age to consume alcoholic beverages. Hilton Hartford reserves the right to refuse alcohol service to anyone.

 

Tax

All federal, state and municipal taxes which may be imposed or applicable to the agreement and the services rendered by the Hotel are in addition to the prices herein agreed upon and the patron agrees to pay for them.

 

Catering Fees

There is a 22% service charge and a 7.35% state sales tax added to all food, beverage, audio-visual and room rental charges.  The service charge is a taxable item in the State of Connecticut.

Prices are quoted per person unless otherwise indicated.

To ensure food quality, buffet pricing is based on 2 hours of service or less and refreshment breaks are based on 1 hour or less.

Additional charges will be incurred for extending hours of service.

Additional charges apply for meal counts of less than 20 persons.

Chef attendants and coat checks are subject to a $150.00 fee per attendant.  Additional criteria may apply for specific food selections.

Room flip fees will apply if a customer requested set-up needs to be modified in the same room.

 

Refresh Policy

Please refer to menus for service times on all meal periods. We will gladly refresh on service beyond these times at the a la carte prices which are available from your Convention Services Manager.

 

Guaranteed Minimum

All items ordered must serve the guaranteed number of guests.  In order to protect the service and quality of your event, we do not accept orders for items that serve less than your total guaranteed minimum.

Prices

The Hotel guarantees prices 6 months prior to your event. Specific per person prices and menus may be outlined in your contract to avoid market increases.

 

Function Rooms

Function Rooms are assigned by the Hotel according to the guaranteed minimum number of guests anticipated.  Increased room rental fees are applicable if group attendance drops below the estimated attendance at the time of the booking.  The Hotel reserves the right to change groups to a more suitable room based on attendance drops or increases.  Hotel will notify the group of any such changes.

 

Food and Beverage Guarantee/Number of Guests

Five (5) working days prior to all food and beverage functions the Hotel requires the customer to submit an expected number of guests for each scheduled event.  The expected number of guests cannot be reduced by more than 10% at the time the Hotel receives this guarantee.  Final guest count does not release customer from the obligation to meet or exceed the contractual food and beverage minimum.

If a guaranteed guest count is not received five days prior to the event, the Hotel will use the contracted agreed upon number as the guarantee.  The guarantee becomes the minimum number of guests used in calculated food preparation.  If the actual number of guests in attendance at the event should exceed the guarantee, the customer will be charged for that number of guests.  Hotel will not overset rooms based on the committed guarantee.

 

Function Room Approvals and Damages

Hilton Hartford reserves the right to approve all signage, props, and décor.  Signs and banners must not be taped, stapled, nailed or affixed in any other manner to walls, columns or doors in the Hotel.  All materials must be professionally produced and submitted to the Hotel for approval.  Handwritten materials may not be used.  Hilton Hartford reserves the right to prohibit the display of props or free-standing items in the Hotel including public areas. Hotel may never allow obstruction of view or any means of egress such as fire exits. 

Any damage to the Hotel as a result of group activity will be subject to a repair charge.  Additionally, Hotel reserves the right to impose cleaning fees for excessive cleaning of the public areas, due to group behavior.

 

Security

The Hilton Hartford’s Safety Security Department will be the exclusive provider of security for all events on property, 24 hours a day, 7 days a week.  Hotel may, at its discretion, require additional paid security for events; group will be notified at the time of booking of this requirement. 

In accordance with the Connecticut Clean Air Act, Hilton Hartford is a smoke-free environment.  Fees will apply for violation of the Hotel’s non-smoking policy.
